Booking & Pricing

One of the most stressful parts of wedding planning is often simply figuring out how booking processes, pricing, deposits, timelines, contracts, travel fees, payment schedules, and availability actually work. Unfortunately, many wedding websites answer these questions vaguely — or avoid answering them altogether. I have always believed couples deserve transparency and clarity long before signing a contract or paying a deposit. The questions in this section focus on how my booking process works, what couples can expect financially, how dates are secured, how payments are handled, and the policies designed to protect both my clients and my business. Weddings are significant investments emotionally, financially, and personally, and I believe couples should feel informed, comfortable, respected, and never pressured throughout the entire process.

How Far Ahead

How far ahead should we book your services?

Honestly, it depends largely on the date of your event. If you are planning a wedding on a Saturday during peak wedding season — particularly between April and October — I strongly recommend booking your DJ as early as possible, ideally around a year in advance. Saturdays during wedding season are by far my busiest dates, and many prime dates disappear very quickly. Waiting too long to secure entertainment for a popular Saturday can leave couples with very limited options, especially if they are searching for a DJ whose style, personality, and philosophy genuinely align with what they are looking for.

 

That said, not every wedding requires a year of advance planning. Off-season weddings, Friday weddings, Sunday weddings, and many non-wedding events often have much greater flexibility and availability even on shorter notice. Occasionally, I do still have Saturdays available within a few months of the date, particularly during slower parts of the year, but I would never advise couples to rely on luck when it comes to securing one of the most important vendors involved in the overall atmosphere and flow of their reception.

Importantly, I also encourage couples not to rush simply because they feel pressured by availability alone. Finding the right DJ matters far more than simply finding an available DJ. I never pressure couples into making quick decisions, and I always encourage them to take time to determine whether I am truly the right fit for their personalities, expectations, vision, and comfort level before booking. Weddings are deeply personal experiences, and choosing the right vendors should feel thoughtful and exciting — not stressful or rushed.

Hold a Date

Will you hold a date until we are able to pay the deposit?

Unfortunately, I am not able to hold wedding dates without both a signed contract and the required retainer fee / deposit in place. Once those two things are received, your date is officially secured and fully protected. Until then, the date remains available and ultimately goes to the first couple who completes the booking process through my portal with both their signature and payment submitted — regardless of where they fall in the order of inquiries, conversations, meetings, or messages received.

I genuinely understand that this can sometimes feel stressful for couples, especially during busy wedding season when dates disappear quickly. In the past, I did try holding dates based on verbal commitments, text messages, and promises from couples who assured me they intended to book. Unfortunately, too often those bookings never materialized, even after I had already turned away other interested couples for the same date. In several cases, I effectively lost the date twice: once by declining another ready-to-book couple and again when the original couple ultimately chose not to move forward.

Because weddings are the foundation of my business, I simply cannot sustainably hold dates without a formal commitment in place. I never want couples to feel pressured into making rushed decisions, but at the same time, I also have to protect my calendar and my livelihood responsibly. Once the contract and deposit are completed, however, your date is yours, and no other inquiries or bookings will ever be accepted for it.

Book

How do we book our event?

Booking is actually a very simple process. Throughout my website, every package includes a button labeled “Book This Package Now.” Clicking that button takes you directly to my online booking portal through Check Cherry, where the specific package connected to that button is automatically preloaded for you.

From there, you simply enter the requested information including your names, phone number, email address, mailing address, wedding date, venue information, and your expected start and end times for the event. The system also automatically calculates any travel fees based on the venue address entered and the distance from my home. Once your event information is entered, you are able to add any additional services or add-ons you may want included with your package.

All of the information you provide automatically populates your DJ contract agreement. You are then able to review the contract carefully before signing digitally through the portal itself. After the contract is signed, the final page allows you to select your preferred payment method and complete the required retainer fee / deposit to officially secure your date. Couples using promotional discounts or special offers will also find the discount code box on this final payment page.

One important thing to understand is that the information entered during booking is not permanently locked in stone. Most of it simply serves as placeholder information until final planning takes place. Couples are able to change venues, update timelines, adjust start and end times, modify contact information, add services, or upgrade packages later as plans evolve throughout the engagement process. Weddings change constantly during planning, and the booking system is designed with that flexibility in mind.

In fact, I sometimes even recommend that couples who want to secure their date quickly but are worried about the initial deposit begin by booking one of the smaller packages first in order to lock in the date at a lower upfront cost. The package can then easily be upgraded later once additional budget flexibility becomes available. I would always rather see a couple secure their date and build upward later than lose a date they truly wanted because they felt pressured to book their final package immediately.

Once both the signed contract and retainer fee are received, your date is officially secured on my calendar and removed from availability for all other inquiries.

Booking a wedding vendor should feel exciting and reassuring, not rushed or uncomfortable. 

Payment

How do we pay for our event? And what payment methods are available?

To officially secure your date on my calendar, I require a retainer fee equal to 50% of the total balance due. This includes the package selected as well as any add-ons after discounts, promotions, or package specials have been applied. The retainer fee is due at the time the contract agreement is signed. Once both the signed contract and retainer fee are received, your date is officially reserved and removed from availability for all other inquiries.

Your remaining balance is due 60 days before the date of your event. Couples are, of course, welcome to make additional payments toward their balance at any time leading up to the wedding if they prefer to break payments into smaller amounts throughout the planning process.

Online payment through the Check Cherry booking portal is preferred because it automatically updates invoices and payment records in real time. Credit card payments made through Stripe within the portal are subject to a 3% processing fee, as all merchant processing fees are the responsibility of the client per contract agreement.

To help couples avoid unnecessary processing fees, I also accept payments made outside the portal through CashApp, PayPal, and Venmo. When payments are made using those services, I manually enter the payment information into the system and send updated invoices reflecting the revised balance due. I additionally accept cash, checks, and money orders for couples who prefer more traditional payment methods.

One important note regarding cancellations: after 90 days, two-thirds of the original retainer fee becomes nonrefundable. However, in many cases, deposits can still be transferred to a future available date if both parties agree to enter into a newly revised contract agreement for the rescheduled event.

Finally, couples who are both willing and financially able to pay their full balance at the time of booking receive a 10% discount off the total purchase price of their package and services.

Payment Plan

Do you offer payment plans?

On occasion, yes. But I want to be very transparent that payment plans are offered at my discretion and should never be assumed or relied upon automatically.

When my wife Gail and I were planning our own wedding years ago, we were young and did not come from money. We had very little savings, and our families were not in positions financially to help us very much. Like many couples, we were trying to build a wedding while also building a life at the same time. We were incredibly fortunate to find a few vendors who were willing to work with us financially through flexible payment arrangements and occasional discounts. Honestly, without that kindness and flexibility, I do not know that we could have afforded the wedding we wanted.

I have never forgotten that. Because of those experiences, I try to extend that same understanding to couples whenever realistically possible. Weddings are expensive, and I recognize that many couples are balancing student loans, rent or mortgage payments, rising living costs, career transitions, or the countless other financial realities that come with adulthood.

When payment plans are approved, a nonrefundable retainer fee equal to 25% of the total balance is due at the time of signing. After that, monthly payments of at least $100 are expected until the remaining balance has been paid in full. In many cases, these monthly payment plans actually result in couples paying off their balances much earlier and more comfortably than waiting to make a large final payment closer to the wedding date.

Generally speaking, payment plans are only available for weddings booked at least one year in advance since shorter booking windows do not allow enough time for smaller monthly installments to realistically cover the total balance due. Also—and this is important—if a monthly payment is not made within seven days of the due date, the contract will be voided. 

At the end of the day, I never want finances alone to immediately prevent couples from reaching out or asking questions. I cannot promise flexibility in every situation, but I will always try to approach those conversations honestly, respectfully, and compassionately whenever I reasonably can.

The best business relationships begin with honesty long before any paperwork is signed.

Hourly Rate

What are your hourly rates?

Like most professional DJs, I do not charge by a simple hourly rate. Instead, I offer flat-rate package pricing designed around the type of event you are hosting and the overall experience you are looking to create. This approach allows couples and clients to know exactly what is included upfront without worrying about constantly calculating costs hour by hour throughout the planning process.

Whether you are booking a wedding or a party, the package price remains fixed based on the package selected and the services included. For weddings, my Bronze Wedding Package is designed as a Reception Only package, though ceremony and pre-ceremony music can always be added if desired. From the very beginning of my business, I made a promise to myself that I would always try to maintain at least one wedding reception package under $1,000 because I genuinely believe every couple deserves the opportunity to have a beautiful and memorable wedding regardless of budget.

The Bronze Wedding Package includes up to five hours of reception coverage, which is the average length of most wedding receptions that I DJ. Similarly, my Bronze Party Package includes up to four hours of music coverage, which tends to align with the average duration of most private parties and events.

For couples or clients who would like additional coverage beyond the included package hours, extra time can always be added at a rate of $75 per additional hour for both wedding and party packages.

Setup and Teardown

Is setup and teardown time included in the hours of the package, or is it charged separately?

This is actually one of the most important questions couples can ask any wedding vendor, not just DJs, because pricing structures vary enormously throughout the wedding industry. Some vendors charge only for performance time while others begin charging the moment they arrive on-site. I always encourage couples to ask for clarity upfront so there are never surprises later.

For my services, setup and teardown time are not included in the hours of music coverage listed in your package. You are paying for performance time — not for me unloading speakers, assembling equipment, running cables, testing microphones, or packing everything away afterward. Your contracted hours begin when the music begins, not when I arrive to prepare for the event. Likewise, teardown after the reception concludes is not billed separately under normal circumstances.

For example, if your reception begins at 5:00 PM and your package includes five hours of music coverage, your music coverage runs for those five hours regardless of how early I arrived to prepare beforehand. Typically, I arrive approximately 90 minutes to two hours before the event begins in order to unload equipment, complete setup, test sound, coordinate with vendors, and ensure everything is fully ready before guests arrive.

There is, however, one important exception. If a venue or timeline requires me to set up significantly earlier than normal or remain onsite long after the event concludes, additional “idle hour” charges may apply. For instance, if your ceremony begins at 5:00 PM but the venue requires all vendors to be completely set up by noon, that creates several additional hours where equipment, staff, and time are tied up onsite before the event even begins. Similarly, unusually delayed teardown requirements after the event can sometimes create additional labor and scheduling complications.

In practice, these situations are relatively uncommon, and I always discuss them with couples well in advance if they arise. My goal is never to surprise clients with unexpected fees, but rather to be transparent about how scheduling logistics work so couples fully understand what is and is not included in their package pricing from the very beginning.

Travel Fees

Are there travel fees?

Yes, though for most weddings and events throughout northeast Ohio, travel fees are either very minimal or do not apply at all. While the majority of my weddings take place throughout the Akron, Canton, Cleveland, Youngstown, and surrounding northeast Ohio areas, I regularly travel across the entire state of Ohio for weddings and events.

Travel fees are based on the distance between Canton and the venue location and are automatically calculated through my booking portal when the venue address is entered during booking. Current travel rates are as follows:

  • 0–60 miles from Canton — No travel fee

  • 61–120 miles from Canton — $50

  • 121–180 miles from Canton — $100

  • 181–240 miles from Canton — $150

  • 240+ miles from Canton — Varies based on distance and logistics

 

Even with travel fees included, couples often tell me that my pricing remains highly competitive compared to DJs local to the areas I travel to.

Additionally, some events located farther from Canton may require overnight accommodations depending on timing and distance. Generally speaking, if an event is more than 150 miles away and either begins at or before 11:00 AM or ends at or after 10:00 PM, overnight accommodations will need to be arranged. Events beginning at or before 11:00 AM require accommodations the night before the event, while events ending at or after 10:00 PM require accommodations the night of the event itself.

Couples are welcome either to book accommodations themselves or to add a flat $150 overnight accommodation fee and allow me to handle the reservation arrangements directly.

Because every wedding day schedule and travel situation is different, couples planning destination weddings or events farther from northeast Ohio are always welcome to contact me directly with questions regarding travel and accommodation logistics before booking.

Transparency matters. Weddings are stressful enough without hidden fees, confusing contracts, or unnecessary complications.

DJ Cost

Why do DJs cost so much?

Honestly, this is a fair question, especially because many people outside the wedding industry see a DJ working for “only” five or six hours on a Saturday evening and naturally assume they are paying primarily for those visible hours alone. In reality, though, the overwhelming majority of professional wedding DJ work happens long before the music ever begins playing on your wedding day itself.

A wedding DJ is not simply charging for speakers, lights, and a playlist. Couples are paying for preparation, planning, music knowledge, organization, timeline coordination, professional equipment, backups, liability insurance, licensing, software subscriptions, transportation, setup and teardown labor, years of experience, and the ability to manage live events in real time while hundreds of guests are emotionally and socially interacting in the same space.

Most professional wedding DJs spend many hours preparing for every single wedding individually. That preparation often includes timeline planning, vendor communication, music preparation, ceremony coordination, formalities organization, announcements, editing music when necessary, organizing special requests, reviewing questionnaires, handling meetings and emails, preparing backup equipment, loading and unloading gear, travel time, setup time, teardown time, and troubleshooting countless behind-the-scenes details couples rarely even see happening. By the time a wedding day is over, a DJ may easily have invested fifteen to twenty total hours into a single event — sometimes considerably more.

There is also the equipment itself. Professional wedding sound and lighting equipment is extraordinarily expensive to purchase, maintain, transport, repair, insure, and eventually replace. Reliable professional systems cost dramatically more than consumer-grade equipment because they are built specifically for live-event reliability and performance. Weddings are simply not environments where a vendor can casually shrug when equipment fails. Professional DJs invest heavily in backups because there are no “do-overs” on a wedding day.

Experience also matters far more than many couples initially realize. A seasoned wedding DJ is constantly reading the room, adapting in real time, solving problems quietly behind the scenes, coordinating with photographers, planners, caterers, and venues, managing timing shifts, adjusting to emotional energy changes, protecting the couple’s wishes, handling unexpected situations diplomatically, and making hundreds of small decisions throughout the evening that collectively shape how the reception ultimately feels. Much of the value couples receive is invisible specifically because an experienced DJ prevents problems before they ever become noticeable to guests.

And honestly, weddings themselves are uniquely high-pressure events. Unlike many other forms of entertainment, there is no opportunity to “try again next weekend” if something goes poorly. Weddings are emotionally significant, once-in-a-lifetime celebrations involving family dynamics, enormous financial investment, months or years of planning, and memories couples will carry for the rest of their lives. That level of responsibility changes the nature of the work entirely.

With all of that said, I also genuinely understand why wedding pricing can sometimes feel overwhelming to couples. Weddings are expensive. I know that personally because my wife Gail and I paid for most of our own wedding ourselves years ago. Because of that, I have always tried to structure my business in a way that still allows couples with more modest budgets to have access to professional wedding entertainment. From the day I started this business, I made a promise to myself that I would always try to maintain at least one wedding reception package under $1,000 because I believe great weddings should not exist exclusively for wealthy people.

At the end of the day, though, couples are not simply hiring someone to play music. They are hiring someone to help guide the emotional rhythm, atmosphere, energy, coordination, and flow of one of the most important days of their lives. And when viewed through that lens, most couples begin to understand that professional wedding DJing is far more complex than it initially appears from the outside looking in.

Cancelation

What is your cancelation policy?

I believe cancellation policies should protect both the couple and the vendor fairly, while still recognizing that life can sometimes change unexpectedly.

Weddings involve enormous amounts of preparation, scheduling, communication, and long-term calendar commitment, so once a date is reserved, that date is no longer available to any other couple who may inquire about it later. Because of that, my cancellation policy is structured around both fairness and the reality of how difficult it can become to rebook wedding dates once they are lost.

If a couple cancels within seven days of signing the contract agreement, all monies received are fully refundable. In that situation, 100% of all payments made will be returned within 90 days of cancellation notification. I believe couples deserve a brief period after signing to reflect comfortably on their decision without fear of immediate financial penalty if they realize they booked too quickly or circumstances suddenly change.

After the initial seven-day period, a $100 cancellation fee is required in order to be formally released from the contract agreement. This fee exists in addition to the following cancellation terms.

If cancellation occurs more than 90 days before the scheduled event date, two-thirds of the retainer fee becomes nonrefundable, while the remaining one-third will be returned within 90 days of cancellation notification.

If cancellation occurs within 90 days of the event date, the full retainer fee and cancellation fee become nonrefundable. At that point, the likelihood of successfully rebooking the date becomes significantly lower, particularly for weddings scheduled during slower seasons or on less commonly booked days.

If cancellation occurs within 30 days of the event, the full remaining balance becomes due under the contract agreement. However, in those situations, the additional $100 cancellation fee itself is forgiven. Weddings canceled that close to the event date are extremely difficult — and often impossible — to replace because nearly all planning, preparation, blocked scheduling, and reserved calendar time have already been fully committed specifically to that couple’s event.

That said, I still try to approach these situations compassionately whenever possible. In cancellations occurring within 30 days of the wedding, I offer a gift certificate valid for one year from the cancellation date equal to the balance already paid. That certificate may be transferred, gifted, sold, combined with promotions, or applied toward a future available event date.

At the end of the day, I never want couples to cancel their weddings, and I certainly never enjoy enforcing cancellation policies. But clear policies protect everyone involved by establishing expectations honestly upfront rather than creating confusion or conflict later. Transparency matters, especially with something as emotionally and financially significant as a wedding.
